Permissions Overview

Permissions in Stellic control user access and capabilities within the system. These settings determine what admins and advisors can see and what actions they can perform—from creating new audits to performing student-related functions. Superadmins are the users in charge of setting and managing permissions.

If you're unable to view certain users or access specific features, you likely lack the necessary permissions. Contact your administrator for permission updates or assistance with restricted actions. Additionally, students can extend access to other admins through the Settings > Sharing Plan option, where they can choose to share:

  • Plan only (without grades)

  • Both plan and audit (including grades)

Permission Categories

  • Student Permissions: Determines access to student records and what actions users can perform with student data.

  • Audit Permissions: Controls who can create, view, modify and publish degree audits.

  • Pathway Permissions: Manages who can create, edit, and publish pathways

  • Shared Programs Permissions: Governs access to and administration of shared requirements.

  • Exception Permissions: Controls who can make and approve exceptions to standard requirements.

  • Institution Permissions: Manages system-wide administrative capabilities and configuration options.

No Student View Permission

This is the default permission for admin users in Stellic. Users with this permission:

  • Land on the Programs page when logging in

  • See Programs as the first option in the sidebar (rather than Students)

  • Can access Analytics if enabled, but only with limited usefulness

  • Cannot view individual student records

Student View-Profile Permission

Users with view-profile permission can access:

  • Basic student information (username, email, entry year, campus)

  • Student notes (view shared notes with appropriate visibility and add new notes)

  • The Requests tab, where you can see requests to and from students

This permission does not include access to the student's academic information such as declared programs or registered courses.

Student View-Plan Permission

The plan-view permission provides access to:

  • Student profile information

  • Declared programs

  • Advisor information

  • Interests

  • Currently registered courses

  • Academic planner (without grade information)

  • Notes which have been explicitly shared

Grade information and GPA are not visible with this permission level.

Full Student-View Permission

The student-view permission provides comprehensive access to:

  • Complete student profile

  • GPA information

  • Degree audit (progress)

  • Student plan

  • Courses with grades

  • Any workflow requests in which the student is enrolled

  • Notes and all notes that have been created with the default visibility setting
